Duties and Responsibilities

1. Take shorthand notes, type, format, correct grammar and spelling, and produce printed documents.
2. Arrange appointments and meetings, and attend to official visitors and employees.
3. Handle mail, telephone messages, and faxes, and forward them to relevant destinations.
4. File and store documents systematically.
5. Scan documents in the Memo Automation System as needed.
6. Prepare reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software.
7. Open, sort, and distribute incoming correspondence, including faxes and emails.
8. Make travel arrangements and initiate applicable payments.
9. Operate office equipment such as computers, photocopiers, and fax machines.
10. Handle requisitions for office stationery, machinery, and equipment.
11. Prepare responses to routine correspondence.
12. Perform other related duties as assigned by the supervisor.

Qualifications and Experience

• Holder of an Ordinary Diploma in Secretarial Studies or equivalent from a recognized institution with at least an Upper Second Class.
• Certificate of Secondary Education Examination with passes in English and Kiswahili.
• Proficiency in shorthand (Hatimkato) at 100 wpm and typing speed at 50 wpm.
• At least three years of relevant post-qualification working experience.

Remuneration

The position offers a salary under the BTSS 2 scale.
